Who is allowed to drive?
Only you or drivers on the form can drive. Drivers must be 25 to 75 years old, unless agreed upon. Each driver needs a valid UK license held for 2+ years at pickup. All drivers must fill out the Hirers Questionnaire. Drivers need to send a DVLA check code from gov.uk/view-driving-licence.
To confirm your booking, we need two forms of ID.
These can include:
Your ID must be current (less than 90 days old). It must also show your name and address.
We also need a copy of your driver’s license (front and back).
If you have a paper license from before 1988, we need another photo ID, like your passport.
Restrictions:
Certain people cannot hire or drive. This includes those with driving convictions. It also includes those with license suspensions or over 6 points in 5 years, unless agreed upon. People with disabilities reported to DVLA cannot drive without DVLA approval and a valid license. Insurance issues like declined or cancelled policies also restrict driving, unless agreed upon. Finally, more than one at-fault accident or two claims in 3 years restricts driving, unless agreed upon.
Horsebox Use:
You and approved drivers must not use the horsebox for hire or illegal activities. Driving lessons and driving under the influence are not allowed. Driving outside England, Scotland, and Wales is not allowed unless approved. The horsebox will be clean and full of fuel when you get it. You must refill the fuel and clean it fully before returning. This means removing muck, hay, and all belongings.
The vehicle will be handed over to you with a full tank of fuel. Please return it with a full tank.
Please note Use pump diesel only - not red diesel!
If the tank is not full upon return, you will be charged for fuel plus 10%.
Please do not tie Hay Nets on the outside of the box or leave tied horses unattended
Please ensure that the cab and horse area is "as it was" when it was handed over to you. Not “mucking out” may result in charges.
The mileage allowance is 250 miles per day. Exceeding this will result in a 35 pence per mile charge.
Fees:
A non-refundable deposit of 50% secures your booking. Full payment is due ten days before pickup. A £225 damage waiver is needed before or at collection via bank transfer or card. It is returned after inspection if there is no damage. By signing, you allow us to charge the full £500 excess if damage occurs. Invoices for work or proof of excess will be provided. You are liable for damage caused by your horse. You pay for loss or damage from negligence, whether caused by you or not. You cover repair costs for interior or exterior damage.
When you bring the horsebox back, we'll ask you to check it over. This confirms the vehicle's condition and that you're happy with your rental. Please tell us about any issues.
You must get our permission before doing any work on the horsebox.
A cleaning fee of £50 may be charged if the horsebox is returned very dirty either or both internally and externally. This could be taken from your deposit.
You are responsible for any damage, speeding tickets, parking fines, or overloading.
If you cancel more than 10 days before your rental, you'll lose your deposit. But you can move the rest of your payment to another date, This depends on availability and can only be done once.
If you cancel less than 5 days before your rental, you will not get a refund.
For special deals, full payment is due when you book. No refunds or date changes are allowed.
You cannot transfer your rental dates to someone else.
Please take care of the horsebox and its keys while you have it.
Always keep the horsebox locked and, where applicable, immobilised when you leave it. Always keep the keys with you.
Do not sell, rent, or damage the horsebox or any of its parts or equipment.
Tell Ellie’s Equestrian Ltd right away if you notice any problems. Never let anyone work on the vehicle without our authorisation.
Before returning the horsebox, please take all your belongings.
You can pick up the horsebox from 8:00 am on the agreed date. You may pick it up the night before if arranged. Returns are due by 6:00 pm on the agreed date. This depends on hand over staff availability.
If you return the horsebox late without notice, you may be charged £25 per hour. This will come from your deposit. We do not give refunds for early returns.
You, as the hirer, are responsible for the horsebox until it's safely back with us.
When you pick it up, the horsebox should be in good condition. Overall condition will be noted in the Handover Condition Report.
When you return it, we will check for damage, cleanliness, fuel level, and condition. This includes tyres, windscreen, lights, mirrors, doors, and equipment.
We may retain your £225 damage waiver if there is damage or if the horsebox is not clean.
You must make sure horses travel with a passport.
The horsebox cannot be taken outside the UK.
The horsebox is for a max of 3 people and the recommended number of animals.
Be sure to follow all weight requirements and laws. If the horsebox is seized for being overweight, you pay all fines. You may also be asked to pay for any revenue we may lose as a result.
Traffic Fines and Charges:
You are responsible for all tickets and costs. This includes parking, traffic, and ULEZ charges. You also pay if the horsebox is clamped. Pay all fines to the right group when asked. If you don't, you will pay our costs to handle it. We will send you any late fines, like speeding or weight tickets and inform the appropriate authority.
Availability:
We try hard to have your horsebox ready. If something happens which is totally beyond our control, we will refund your rental money.
We can refuse to give a horsebox to someone if, in our opinion, we think they are not fit or able to drive it. If we refuse, we will refund all payments. We are not responsible for any other costs.
Accidents
Call us right away if there is an accident or breakdown. You must also fill out a motor accident report form. The insurance excess is £500. You don't pay for breakdown recovery. But you may have to pay for recovery if there is an accident.
Important
If there's an accident, do not say you are at fault or apologise. Get names and addresses of everyone involved. This includes any witnesses. Take photos or videos if you can. Be sure to show license plates and damage to all property. Call the police right away if anyone is hurt or there is a disagreement about who caused the accident.
